How to Schedule & View Calendar Events

Prerequisites: None Alternatives: None See Also: View Calendars for Colleagues
Third Party Calendars

The Calendar in Symbient Opta provides a great place to keep track of all your events, schedules and appointments. It allows you to quickly and easily schedule events with multiple participants, capture notes & attachments for those events, and even schedule events to repeat. You can also view available and unavailable time slots for your colleagues without seeing the event details. This helps you compare calendars across multiple colleagues for finding time slots that work for everyone.

  1. Log into Symbient Opta and click on the menu options: My Stuff > Calendar.
  2. Change the calendar view by clicking the Month, Week, or Day buttons in the top-right corner. The default is Week.
  3. Navigate between months, weeks, and days using the arrows in the top-left corner.
  4. Click any time slot on the calendar to launch the Edit Event popup window.
  5. Enter a Title and Description for your event.
  6. Click the Participants field and type in the name of the person you want to add to the event. Repeat to add multiple participants.

Note: Participants can be colleagues of your company, as well as customers and contacts. Anyone that is not a colleague of your organization will be denoted by having their company name (if available) enclosed in parenthesis. Contacts of your company will be denoted by your company name enclosed in parenthesis next to their names.

  7. If you want to allow other participants to modify the event if necessary, check the "Modify Event" checkbox under "Guest Permissions".
  8. Check the "Add Opta Video Conferencing" checkbox to have a video conferencing room automatically created for your event. After saving the event, the video conferencing room URL will appear.
  9. If the event is to take place in another timezone different than your default, change the Timezone.
  10. Select a Start Date for your event.
  11. Select Start Time, End Date, and End Time for your event if applicable.
  12. If your event is to take place all day, check the "All day" checkbox, at which point the Start Time, End Date, & End Time fields will turn grey and become disabled.
  13. If your event is to repeat, check the "Repeats" checkbox. This will display fields for selecting how often the event event repeats and when it should end (if applicable).
  14. Click the Save button.
